What documents do I need to get the UK Customs clearance?

Correct completion of the declaration, as well as providing the appropriate documents, is necessary for the smooth handling of Customs clearance. Many delays and problems are caused by the failure to provide the relevant documents (often invoices that do not meet the requirements) or incorrect HS commodity codes.

FF Customs & Logistics specialists will check all your documents. Many years of experience in Customs procedures mean that the commodity codes have no secrets for us.

We assume full responsibility for carrying out the clearance and correctly completing the Customs declaration (provided that all necessary information is provided to us – see below).

That is why we require an authorisation from all new customers.

We accept all documents electronically (scans sent by e-mail are sufficient) and we do not require translations for documents in the European Union languages.

Do you only have documents in the country-of-origin language? This is not a problem for us!

Documents and information needed for import clearance (import of goods from the EU to the UK)

The basis for Customs clearance is a document called a commercial invoice.

The following information is required:

  • Data of the exporter and importer, i.e. the name and address of the company together with the VAT number (if any) and EORI on the British side and NIP number on the Polish side.
  • Customs tariff codes for all items on the invoice (the exporter is responsible for providing the correct codes, in case of doubt please checkhttps://www.trade-tariff.service.gov.uk/).
  • Incoterms – define who pays for the transport: the sender or the recipient and other conditions of transport. You can learn more about incoterms here.
  • Packing list/ delivery note (if any) or net weight of individual items from the invoice.
  • Description of the goods (quantity / number and value of the goods with the name of the contract currency).
  • Country of origin of the goods, needed to determine any due payments.
  • Vehicle registration number as well as the date and location of its crossing the UK border.
  • Optional: international consignment notes (vehicle – CMR) and EAD (Export Accompanying Document).

Documents and information needed for export clearance (export of goods from the UK to the EU)

  • VAT invoice.
  • Data of the exporter and importer, i.e. the name and address of the company together with the VAT number (if any) and EORI on the British side and NIP number on the Polish side.
  • Customs tariff codes for all items on the invoice (the exporter is responsible for providing the correct codes, in case of doubt please check https://www.trade-tariff.service.gov.uk/).
  • Packing list/ delivery note (if any) or net weight of individual items from the invoice.
  • Description of the goods (quantity / number and value of the goods with the name of the contract currency).
  • Vehicle registration number as well as the date and location of its crossing the UK border.
